Terms of Service for BillFound Billing Watchdog
These terms govern access to BillFound.
Effective August 22, 2026. Last updated: September 19, 2026
1. Service
BillFound provides a read-only billing review service. Your first complete BillFound check is free. After that, full findings and future checks require a $29 monthly subscription plus applicable taxes unless your workspace has explicit complimentary access.
2. What BillFound does
BillFound uses read-only connections to selected calendar data and billing/accounting data to show possible billing issues for owner review. Current checks cover completed work with no credible invoice, possible missing recurring billing, and older draft or unsent invoices that may relate to completed work where the billing provider supports that evidence. BillFound may also organize open QuickBooks invoices by provider-reported delivery, view, due-date, balance, and overdue information in Invoice Follow-up, and lets you choose a Schedule Check start date for current coverage calculations.
BillFound does not create, change, send, or approve invoices; contact customers; process payments in connected billing systems; file taxes; or make accounting entries.
3. Findings are not professional or legal conclusions
BillFound findings and Invoice Follow-up statuses are informational, not proof that a customer legally owes money and not legal, tax, bookkeeping, collection, or accounting advice. A QuickBooks status such as “Not sent through QuickBooks,” “Sent, not viewed,” or “Viewed, still open” reflects provider-reported data available to BillFound. It does not establish that an invoice was or was not delivered through another channel, that a customer personally read it, that the balance is collectible, or that money is legally owed. A finding or status may be incomplete, incorrect, duplicated, or explained by activity outside the connected systems. You are responsible for reviewing the source records and deciding whether and how to bill or follow up with a customer.
4. Billing and cancellation
Paid access is a $29 monthly recurring subscription plus applicable taxes, processed through Stripe-hosted payment pages. Stripe handles the final tax calculation at Checkout. The subscription renews automatically each month until canceled. You can manage billing and cancel through the Stripe Customer Portal from BillFound. Cancellation is effective at the end of the current paid billing period, and paid access remains active until that period ends. BillFound does not store full payment-card details.
No separate refund policy is established here; refund decisions require owner review.
5. Your responsibilities
- Provide accurate account and business information.
- Protect your password and account access.
- Connect only calendar and billing accounts you are authorized to access.
- Review findings before making billing, customer, accounting, or tax decisions.
- Maintain your own accounting records and backups.
- Notify Support promptly about suspected unauthorized access or incorrect account ownership.
6. Acceptable use
You may not use BillFound to violate law or third-party rights, access another business's data without permission, probe or disrupt the service, bypass access controls or rate limits, upload malicious code, misuse provider APIs, or use findings to harass, deceive, or unlawfully collect from a customer.
7. Connected services
Google Calendar, Microsoft Outlook, QuickBooks Online, and Xero are third-party services governed by their own terms and availability. You authorize BillFound to access the specific read-only data described in the Privacy Policy. You may disconnect any connected provider. BillFound is not affiliated with or endorsed by Google, Microsoft, Intuit, or Xero unless separately stated.
8. Ownership and feedback
BillFound and its software, branding, and service design remain the property of their respective owners. You retain ownership of your business and connected-account data. If you provide feedback, you permit BillFound to use it to evaluate and improve the service without an obligation to compensate you, provided we continue to handle connected data under the Privacy Policy.
9. Suspension and termination
You may stop using BillFound or request offboarding through Support. BillFound may suspend or terminate access for security risk, misuse, legal requirements, provider restrictions, prolonged inactivity, or failure to maintain paid access after the free check. Offboarding disables access and connections as described in the Data Deletion page.
10. Availability and disclaimers
BillFound is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, BillFound disclaims implied warranties of merchantability, fitness for a particular purpose, non-infringement, uninterrupted availability, and error-free results. We do not guarantee that every billing gap will be found or that every finding is correct.
11. Limitation of liability
To the maximum extent permitted by law, BillFound and its operators will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, goodwill, or business opportunities. Aggregate liability for claims related to the service will not exceed the greater of the amount you paid for BillFound during the 12 months before the claim or $100. These limits do not apply where prohibited by law.
12. Changes
We may update these terms as the service develops. Material changes will be communicated through the service or the account email. Continued use after an effective update means you accept the updated terms, except where additional consent is required.
